£0 – leaders children (under 5) who are attending the camp but not participating (they need to be registered under our safety policy)
All Beavers, Cubs, Scout and Explorers to be registered as a participant by 15/02/2019- completion of online booking forms by parents have until 01/05/2019
All Leaders, Helpers, Young Leaders and Leaders children under the age 5 (i.e. not attending as a participant) who attending as a group (not staff) to register as Leaders in your “Group Booking” by 15/02/2019
Leaders or adults attending not with a group to book on as staff in “Staff Booking”
The process will register all attending and email to each person to complete their personal detail forms
The Shirejam admin team will then contact each group to confirm the breakdown of numbers to ensure invoicing is correct
Late Registrations will not be recorded through EMS systems and the Shirejam Admin team will inform participants of the process for late bookings.

Your privacy is important to us. We want to securely hold and process personal information and communicate with members and other related parties in a way which has their consent, and which is in line with UK law on data protection, including GDPR
For the event “Shirejam”, Scouts Hereford and Worcester are using a company called EMS to collect booking information on those attending. The details collected will then be used to contact parents and leaders to enable them to provide the various health and personal information that is required to ensure the safety and well-being of the campers to Shirejam.
The data we collect and process from Scouts EMS registration system will comply with Scouts Hereford and Worcester GDPR policies which can be found at www.hwscouts.org.uk/?q=dataprotection
Register individuals arriving and leaving on site at Shirejam
Invoice and manage payments of participants
Manage the provision of activities in compliance of The Scout Association rules and site rules from the Three Counties Show Ground.
Ensure all individuals over 18 on site have a valid DBS check or references.
Ensure we have the correct medical and food hygiene processes in place.
Have the details of young people for emergency services in case of any incident requiring medical care.
Have the details to contact the next of kin or nominated contact in case of emergency or incident.
Pass these details, if necessary, on to emergency services including attending leaders providing first aid at a scene of an incident or a member of ScoutMed, who are the attending emergency first aid responder on site at Shirejam.
Manage the security on site, including the facilities offered.
Manage photo and media enquiries, releases and publications.
Manage the safety and security of young people for off-site activities, including, but not exclusively for, on-water activities such as kayaking and powerboating.
Provide as necessary, shooting consents to activity leaders to enable participation in activities.
Pass on as appropriate, activity permissions and relevant data to third party activity providers to Shirejam to ensure the safety of participants.
Confirm to leaders the badge requirement achievements of young people attending.
Contact participant’s with relevant information relating to participating or attending Shirejam.
Process information to ensure adequate insurances are in place.
